AI Agents for Accounting and Admin: A Guide for Belgian SMBs

In short
An AI agent for accounting reads invoices and receipts, prepares bookkeeping entries, matches payments, chases unpaid invoices and flags anomalies, always with human review. In Belgium, mandatory Peppol e-invoicing between businesses since 2026 makes this work easier. Your accountant remains responsible for tax filings and advice.
Key takeaways
- Since January 1, 2026, Belgian VAT-registered businesses exchange structured e-invoices with each other via Peppol.
- The AI agent mainly handles what falls outside Peppol: foreign PDFs, receipts, emails, bank statements.
- Payments, IBAN changes and sensitive entries always stay human-approved.
- Your accountant keeps responsibility for tax filings and advice.
- Invoice e-reporting is planned for 2028: clean data today prepares you for it.
What can an AI agent do in accounting?
An AI agent in accounting reads incoming documents, extracts the useful data, prepares entries and flags anything that doesn't add up. It works inside your tools (inbox, accounting software, read-only bank access) according to the rules you set.
It differs from simple automation because it understands free-form documents, like an invoice in an unfamiliar layout or a customer email disputing an amount. If the concept is new to you, start with our article What is an AI agent?.
It isn't an accountant, and it isn't accounting software. It's a layer that moves and checks information between your tools and your accountant.
What changed with e-invoicing in Belgium?
Since January 1, 2026, Belgian VAT-registered businesses must exchange structured electronic invoices with each other. According to the official e-invoicing website of the Belgian Federal Public Service Finance, invoices move directly between software, and you need software connected to the Peppol network.
Key points to know:
- The tolerance period is over. The FPS Finance announced the end of the general tolerance period covering the first three months of 2026. A targeted tolerance for self-billing ran until June 30, 2026.
- A PDF by email is no longer enough for invoices between Belgian VAT-registered businesses.
- Even without business customers, a company that buys from a Belgian business must be able to receive e-invoices.
- The next step is coming. According to Deloitte, the Council of Ministers approved a preliminary draft law on invoice e-reporting on July 18, 2026, currently envisaged for January 1, 2028. It hasn't been adopted yet.
For an AI agent, that's good news. A Peppol invoice contains structured data, so there's no more guessing the amount or VAT number from a scan.
Which tasks should you hand over to an AI agent?
The most rewarding tasks are repetitive, frequent and easy to check. These are the ones we see most often in small businesses.
| Task | What the AI agent does | What a person approves |
|---|---|---|
| Supplier invoices | Reads the Peppol or PDF invoice, checks VAT and amounts, suggests the posting | The final entry and doubtful cases |
| Bank reconciliation | Matches payments to invoices, even with incomplete references | Discrepancies and unidentified payments |
| Payment reminders | Prepares graduated reminders tailored to the customer's history | Sending beyond the first reminder, disputes |
| Expense reports | Extracts amount, date and category from a photographed receipt | Manager approval |
| Admin mail | Sorts and files emails and documents, drafts a reply | Any reply with consequences |
| Missing documents | Lists missing receipts and requests them from employees | The file sent to the accountant |
These are typical use cases. The exact scope is decided with you and your accountant.
Why is an AI agent still useful alongside Peppol?
Peppol structures part of the flow, not all of it. The AI agent handles what remains and also makes use of the Peppol data itself.
What often falls outside Peppol:
- invoices from foreign suppliers, still sent as PDFs;
- receipts and expense reports;
- bank statements;
- customer or supplier emails that come with an invoice.
Even a Peppol invoice still needs checking. Does the amount match the purchase order? Has the supplier changed its IBAN? An AI agent spots these discrepancies and flags them before payment.
What role does your accountant keep?
Your accountant remains responsible for tax filings, year-end closing and tax advice. The AI agent doesn't replace that expertise; it delivers cleaner data.
The profession is already moving in that direction. The official e-invoicing website notes that data entry and bookkeeping are being automated, shifting accountants' work toward advice and case follow-up.
Administrative workload weighs on the profession too. According to a survey by the ITAA, the Belgian institute of tax advisors and accountants, reported by La Libre, 92% of respondents point to excessive administrative work.
In practice, involve your accountant from day one. Together, you'll agree on the export format, the chart of accounts, approval thresholds and how the agent hands over documents.
What are the limits and risks?
An AI agent can make mistakes, and accounting errors are costly, so it needs boundaries. Here are the guardrails we apply.
- Human approval for sensitive actions. No payment, no IBAN change and no final entry without a person's sign-off.
- Minimal access. The agent reads the bank account but can't make transfers; it prepares entries but doesn't close the books.
- Healthy suspicion of incoming documents. A booby-trapped invoice can hide instructions aimed at the AI. That's prompt injection, covered in our article on AI agent guardrails.
- Logging. Every action is recorded, so you know what the agent did, when and on which document.
- Data protection. Invoices and statements contain personal data, so GDPR applies. At Ozapp, hosting is on European servers.

Frequently asked questions
Can an AI agent replace my accountant?
No. An AI agent takes over data entry, sorting and repetitive checks, but it doesn't replace your accountant's expertise or responsibility. Your accountant still handles tax filings, year-end closing and tax advice. The agent hands over cleaner, more complete data, which frees up time for analysis and advice.
Is e-invoicing mandatory in Belgium?
Yes, between Belgian VAT-registered businesses. Since January 1, 2026, they must send and receive structured electronic invoices, and a PDF sent by email is no longer enough. The general tolerance period ended after March 2026. Check your own situation with the official tool on efacture.belgium.be.
If I already use Peppol, do I still need an AI agent?
Often, yes. Peppol structures invoices between Belgian businesses, but foreign suppliers, receipts, expense reports, bank statements and customer emails remain. The AI agent processes those documents, checks that Peppol data matches your purchase orders and prepares payment reminders. Peppol supplies the data; the agent puts it to work.
Is my accounting data safe with AI?
It can be, if the project is designed for it. Limit the agent's access to the strict minimum, log every action, keep human approval on payments and choose appropriate hosting. At Ozapp, solutions are hosted on European servers and you remain the owner of your data.
Where should I start automating admin work?
Start with supplier invoice processing or chasing unpaid invoices. Both are frequent, easy to measure and low-risk as long as a person approves the actions. Involve your accountant from the start to agree on the data format, the chart of accounts and the control points.
