Chatbot vs ChatGPT: Can You Use ChatGPT as a Business Chatbot?

In short

ChatGPT is a great assistant for your team, but not a chatbot for your customers: it doesn't live on your website or WhatsApp, doesn't connect to your tools and doesn't follow your handover rules. A business chatbot often runs on the same kind of model through the API, wrapped in your content, actions and channels.

Key takeaways

  • ChatGPT (Free, Plus, Business, Enterprise) is built for your employees, not your customers.
  • A custom GPT forces customers to go through ChatGPT: not your channel, not your brand.
  • A business chatbot usually runs on the OpenAI API or another provider, with your rules around it.
  • The real differences: approved knowledge, actions in your tools, channels, human handover and data control.
  • A chatbot's cost combines a build project and a usage cost tied to conversation volume.

Can ChatGPT work as a business chatbot?

Not out of the box: ChatGPT is designed for people who come to ChatGPT, not to answer your customers on your channels. It can, however, power a business chatbot when it's properly framed.

Our AI chatbot for business guide sums up the difference in one table. This article goes further: what each version of ChatGPT can do, and when a custom chatbot becomes the better option.

What do the different ChatGPT plans offer?

Each ChatGPT plan targets a different use, and none is a ready-made customer chatbot. Here's what they cover as of October 2026.

PlanWho it's forRealistic business use
ChatGPT Free, Plus, ProIndividualsWriting, research, one-off help
Custom GPTsChatGPT usersTopic-specific assistant shared by link, inside ChatGPT
ChatGPT Business (formerly Team)TeamsShared workspace for your employees
ChatGPT EnterpriseLarge organizationsSame, with admin controls and data residency options
OpenAI APIDevelopersBuilding block for your own chatbot

The Team plan was renamed ChatGPT Business on August 29, 2025, with no change in features, according to the OpenAI Help Center. These subscriptions are priced per user: they equip your team, not your visitors.

Why doesn't a custom GPT replace a chatbot?

A custom GPT stays inside ChatGPT, so your customers have to leave your site and sign in with their own account. That's handy for testing an idea, but not for customer service.

In practice, with a custom GPT:

  • the experience carries the ChatGPT brand, not yours;
  • you can't see your customers' full conversation history;
  • there's no handover to your team and no lead created in your CRM;
  • it isn't available on WhatsApp, Messenger or your website.

On WhatsApp, there's an extra twist: since January 2026, Meta bans general-purpose AI assistants from its business platform but still allows business chatbots. We cover the rules in our article on the WhatsApp chatbot for business.

What are the real differences with a custom chatbot?

A custom chatbot often uses the same kind of model as ChatGPT, but wraps it in six things ChatGPT doesn't give your customers.

  1. Knowledge: it answers from your approved content (website, FAQs, catalog, terms) using RAG, and declines off-topic questions.
  2. Actions: it looks up an order, books a slot, creates a ticket or a lead in your tools.
  3. Channel: it lives on your website, WhatsApp Business, Messenger or Instagram, with your branding.
  4. Control: you set the tone, the limits, the rules for handing over to a person and what it must never say.
  5. Data: you decide where conversations are stored and for how long.
  6. Model: you can move from GPT to Claude or Gemini without rebuilding everything.

A simple example: a customer asks whether their order has shipped. ChatGPT can't know. A chatbot connected to your store can. For that use case, see our article on the ecommerce chatbot.

What about data: is ChatGPT a risk?

The risk depends mostly on the plan you use and how your team uses it. The key principle: business plans and the API aren't used for training by default.

According to the OpenAI Help Center, data from ChatGPT Business, Enterprise, Edu and the API Platform is excluded from training by default. Personal Free, Plus and Pro accounts share data unless the user opts out.

Since February 2025, OpenAI also offers data residency in Europe for ChatGPT Enterprise, Edu and the API, for eligible customers. A customer-facing chatbot raises further questions: informing visitors, retention periods and processors. We cover them in our article on chatbot GDPR compliance.

The bigger danger is often shadow use: an employee pasting customer data into a personal ChatGPT account. A usage policy and some AI training for your team solve much of the problem.

How much does each option cost?

The two aren't priced the same way: a ChatGPT subscription is paid per employee, a chatbot per project and then per use.

  • ChatGPT for your team: a per-user monthly price, published on OpenAI's website and updated regularly.
  • API: billed by the volume of text processed (tokens), depending on the model.
  • Custom chatbot: a design, integration and testing cost, then a usage cost tied to conversation volume and model choice.

Usage cost stays manageable: you pick a model that fits the difficulty of the questions, keep answers concise and set spending caps. At Ozapp, every project is quote-based, after a free 30-minute consultation.

Which option should you choose?

The right choice depends on who's asking the questions: your employees or your customers.

  • Your team needs help writing, summarizing and researching: ChatGPT Business or Enterprise, with a usage policy.
  • You want to test an idea for a topic-specific assistant: a custom GPT is fine as a prototype.
  • Your customers ask questions on your website or WhatsApp: a business chatbot connected to your content and tools.
  • You also want requests processed automatically: a chatbot combined with AI agents.

Many companies do both: ChatGPT internally, a custom chatbot for customers.

Frequently asked questions

Can I put ChatGPT on my website?

Not the ChatGPT app itself. To get an assistant on your website, you need a chatbot that calls an AI model, for example through the OpenAI API, and is connected to your content. That chatbot handles the interface, tone, limits, lead capture and handover to your team.

Is a custom GPT enough as a customer chatbot?

Rarely. A custom GPT runs inside ChatGPT, so your customers have to leave your website and use their own account. You don't control the experience, can't follow up on conversations and get no CRM integration. It's useful internally or as a prototype, much less for customer service.

Does OpenAI use my chatbot's data to train its models?

Not by default for the API and business plans. According to the OpenAI Help Center, data from ChatGPT Business, Enterprise, Edu and the API Platform is excluded from training by default. Personal Free, Plus and Pro accounts do share data unless the user turns that setting off.

Is a custom chatbot more expensive than ChatGPT?

Upfront, yes, because there's a design, integration and testing project. After that, usage cost depends on conversation volume and the model you choose. A ChatGPT subscription is priced per internal user, so it doesn't cover thousands of website visitors. The two budgets solve different problems.

Can a business chatbot use a model other than GPT?

Yes. A custom chatbot can run on OpenAI's GPT, Anthropic's Claude or Google's Gemini, and switch models later if another one becomes better or cheaper. Your content, rules and integrations stay the same. That's a major advantage over a tool locked into a single provider.
