AI for medical and dental practices: a front desk that always picks up
Between appointments, the phone rings unanswered and the schedule fills with gaps. An AI voice agent and an online assistant handle the simple requests — bookings, opening hours, documents — and leave medicine to the clinicians.
- Bookings around the clock
- Reminders against no-shows
- Practice FAQs in EN, FR and NL
- Emergencies routed to 112 and 1733
In short
An AI assistant for a medical or dental practice answers patients' administrative requests by phone and online — booking, moving or canceling appointments, opening hours, documents to bring — and records everything in the calendar. It never diagnoses, routes emergencies elsewhere and keeps only the data it needs, on European servers.
What wears a practice down every day

- 01
The phone rings mid-consultation
A solo GP or a dentist in the middle of a procedure can't pick up. The patient calls back three times, or goes elsewhere.
- 02
Missed appointments
A forgotten appointment is a lost slot while other patients wait for weeks. Manual reminders take time nobody has.
- 03
The same questions, all day long
On-call hours, fees, documents for a first visit, parking: the front desk repeats the same answers from morning to night.
- 04
One practice, three languages
In Brussels and around it, many patients prefer Dutch or English. One receptionist can't cover them all.
A day at the practice, with AI backing up the team
A realistic example for a group practice: AI handles the admin, the team keeps everything to do with care.
Assistant log · example
A patient calls before opening
The voice agent offers two free slots for a check-up, confirms the choice and sends a text message summary.
A question during consultations
‘Do I need to fast before my blood test?’ The assistant answers with the instruction written by the practice, without improvising.
A worrying symptom on the line
The agent recognizes an urgent situation, gives no medical advice and immediately directs the caller to 112, then alerts the team.
A last-minute cancellation
The freed slot is automatically offered to the first patient on the waiting list, who confirms in one click.
The end-of-day summary
The team receives the list of calls handled, call-backs requested and messages to review the next morning.
Four practical uses for a practice
We start with a single use case, measure it for a few weeks, then add the next one.

- Instructions before a test or treatment
- Answers in English, French and Dutch

Medical confidentiality, GDPR and ethics: the framework first
In healthcare, AI is only useful if it is beyond reproach. These are the rules we build in from day one.
01
Medical confidentiality extends to tools
The Belgian Code of Medical Ethics (art. 25) covers everything a doctor learns in the course of their work and requires them to make sure their staff respect confidentiality too. The assistant is therefore limited to admin and never sees the medical record.
02
Health data: purpose and proportionality
Health data is a special category under the GDPR (art. 9), and the code (art. 27) requires purpose limitation and proportionality. We collect the strict minimum, on European servers, under a data processing agreement with a defined retention period.
03
Never any medical advice
The AI doesn't diagnose or recommend treatment. Urgent situations are directed to 112, and requests for an on-call doctor to 1733 or the local out-of-hours service.
04
Objective communication
Article 37 of the code allows doctors to make their practice known, provided the information is truthful, objective, verifiable and not misleading. Dentists' communication is regulated too. Our content follows that line.
Points to check with your professional body before going live. The EU AI Act also requires patients to be told clearly that they are talking to an AI: our agents always introduce themselves as such.

The voice demo puts you in the shoes of a patient calling in: asking for an appointment, asking a practical question, changing your mind. You hear live how the agent rephrases, offers a slot and knows when to hand over.

No, it takes pressure off them. The voice agent handles simple, repetitive calls — appointments, hours, documents — especially when nobody can pick up. The receptionist keeps the welcome desk, delicate situations and anything that needs judgement. Transfers to them are designed in from the start.
No. We design the assistant for admin only: it reads the calendar, not the medical record. That separation respects medical confidentiality and keeps the health data processed to the strict minimum, as the GDPR requires.
It gives no medical advice. As soon as the conversation suggests a potentially urgent situation, it directs the caller to 112 and, for an on-call doctor, to 1733 or the local out-of-hours service. The practice team is then notified.
In most cases, yes. We connect the agent to the calendar your practice already uses when it allows it, or to a shared calendar. We check compatibility during the free consultation, before any commitment.
Yes, always. The agent introduces itself as the practice's virtual assistant at the start of the call. It is a transparency requirement of the EU AI Act and a matter of trust with your patients.
Yes, as long as it provides objective, non-misleading information, like any communication from a healthcare professional. The chatbot answers from texts approved by the practice — access, preparing for treatment, fees — with no promise of results.
