AI for accounting firms: fewer documents to chase
Missing invoices, late bank statements, questions about deadlines: an accounting firm spends part of every week chasing and sorting. Automation and an AI assistant take that on, under your control.
- Documents collected and filed
- Peppol invoices ready to book
- Deadline reminders for clients
- Client assistant in EN, FR and NL
In short
AI for an accounting firm automates the collection, reading and filing of accounting documents, reminds clients about missing paperwork and answers their practical questions about deadlines and documents to provide. It prepares the work; the accountant reviews, advises and signs off, with professional secrecy respected.
What eats into an accounting firm's margins

- 01
Chasing documents
Every quarter, the same clients send their invoices late, by email, photo or on paper. Reminders are done by hand.
- 02
Data entry that stays manual
Even with e-invoicing, some documents still arrive as PDFs or photos that have to be read and allocated.
- 03
Repetitive questions
‘When do I pay my VAT?’, ‘Which documents for my tax return?’: every question interrupts work on a file.
- 04
Deadline peaks
VAT returns, personal income tax, annual accounts: the workload is concentrated into a few weeks.
A day at the firm, with AI backing up the team
An example for a firm serving several hundred self-employed clients and small businesses.
Assistant log · example
Inbox sorted automatically
Invoices received by email and via Peppol are read, matched to the right client and filed. Duplicates are flagged.
Targeted reminders
Clients missing documents for the quarter get a precise message: which invoices, by when and where to upload them.
A question on the phone
A self-employed client asks for the deadline of their VAT return. The voice agent answers from the firm's calendar and offers a reminder.
Prepared for the accountant
Documents are presented with a suggested booking. The staff member checks, corrects and approves; nothing is posted without them.
File dashboard
Each account manager sees which files are complete, which are pending and which clients to call first.

Professional secrecy, ITAA and anti-money laundering
Your clients' financial data is among the most sensitive there is. So the framework is set before the first automation.
01
Professional secrecy applies
The Belgian law of 17 March 2019 on the accountancy and tax adviser professions (article 120) makes article 458 of the Criminal Code apply to professionals registered with the ITAA. The AI tool is therefore treated as a processor, under contract, on European servers.
02
The professional stays responsible
AI suggests, the accountant approves. No entry, return or tax position is finalized without human review, in line with the profession's ethical principles.
03
Anti-money laundering
Accountants and tax advisers are subject to the law of 18 September 2017. Automation can gather identification documents, but assessing client risk remains a human task.
04
Electronic invoicing
Since 1 January 2026, structured e-invoicing has been mandatory between Belgian businesses. Peppol flows are well suited to automation; exceptions are still handled by the team.
The AI's access is limited to the files it needs and every action is logged. The client assistant always says it is an AI and never gives personalized tax advice.
Describe a task, watch it get automated
In the automation demo, describe a task from your firm — for example ‘remind clients every month when invoices are missing’ — and the AI builds the automation plan, then runs it on an example.

Step 101
A 30-minute scoping call
Your accounting software, your incoming channels and the tasks that take the most time.
Step 202
A first automated flow
Often document collection and reminders, on a test group of clients.
Step 303
Quality control
For a few weeks, every AI suggestion is checked and errors feed back into the rules.
Step 404
Roll-out
We extend to the other clients, then to the client assistant and the voice agent.

It prepares a large part of it: reading documents, matching them to the file, suggesting the entry. But a staff member checks and approves before anything is posted. The goal is less time typing and more time reviewing and advising.
Often, yes, through imports, available integrations or standard formats. We review your software and flows during the free consultation. If no direct integration exists, the automation prepares files ready to import.
Yes, provided the tool is set up as a processor: GDPR contract, limited access, European servers, action log. The data isn't used to train public models. A non-disclosure agreement can be signed with Ozapp.
No. It answers practical questions — the firm's deadlines, documents to provide, procedures — and passes any substantive question to the account manager. Personalized tax advice remains the professional's job.
Yes. Structured invoices are more reliable to read than a PDF or photo, so more documents are processed without correction. AI remains useful for documents that still arrive in other formats.
